Terms & Conditions

01 Services provided

FlowPilot is a service offered by Sajid Mumtaz ("FlowPilot", "I", "me") to individuals and businesses ("client", "you") who engage FlowPilot for recurring, hands-on support. Depending on what's agreed on the onboarding call, this may include:

  • Public RFP research and proposal drafting
  • Social media management (scheduling, posting, basic content calendar)
  • Graphic design tasks (posts, banners, simple decks, quick edits)
  • Inbox and email management
  • Data entry (CRM updates, spreadsheets, record cleanup)
  • Cold outreach (list building, first-touch messaging, follow-ups)

The exact mix of tasks is not fixed in advance — it is shaped around the client's actual needs as discussed during the initial call and may be adjusted over time by mutual agreement.

02 Pricing & payment

The standard rate is $800 USD per month, flat, covering the agreed scope of work regardless of the number of hours or tasks completed in a given month. Payment is due in advance of each monthly period unless otherwise agreed in writing (including via email).

FlowPilot reserves the right to adjust pricing for new clients or for a significantly expanded scope of work; any change to an existing client's rate will be communicated at least 14 days in advance and will not apply retroactively.

03 Scope & onboarding call

Work begins with a short introductory call (typically ~30 minutes) to understand the client's actual day-to-day struggles and agree on which tasks FlowPilot will take on. This agreed scope forms the working basis of the engagement. Reasonable adjustments to scope can be discussed at any time, but a request for a substantially different or larger scope of work may result in a revised rate.

04 Cancellation & month-to-month terms

The engagement runs month-to-month with no long-term lock-in contract. Either party may end the engagement at any time by providing notice; FlowPilot requests at least 7 days' notice where possible to allow for a clean handover of any in-progress work. Fees already paid for the current billing period are non-refundable, but no further charges will be made after cancellation takes effect.

05 Client responsibilities

To do this work effectively, the client agrees to:

  • Provide timely access to the relevant accounts, tools, or information needed to complete agreed tasks
  • Respond to questions or approval requests in a reasonable timeframe
  • Ensure that any content, data, or instructions provided are lawful and accurate to the best of their knowledge
  • Review and approve outward-facing material (social posts, proposals, outreach messages) before publication where requested

06 Confidentiality

Any business information, credentials, or documents shared with FlowPilot in the course of this engagement will be treated as confidential and used solely for the purpose of delivering the agreed services. FlowPilot will not disclose such information to third parties except where required to perform the work (e.g. a necessary software tool) or where required by law.

07 Ownership & intellectual property

Unless otherwise agreed, work product created specifically for the client under this engagement (e.g. drafted proposals, designed graphics, written copy) becomes the property of the client once the applicable invoice for that period has been paid in full. FlowPilot retains the right to use non-confidential, non-identifying aspects of the work (e.g. general skills, techniques) in future engagements with other clients.

08 Liability & disclaimers

FlowPilot provides administrative, creative, and outreach support services and does not guarantee specific business outcomes, such as winning a particular RFP/tender, a specific follow rate on outreach, or a specific level of social engagement. FlowPilot is not a licensed legal, tax, or financial advisor, and nothing provided under this engagement should be treated as legal, tax, or financial advice.

To the maximum extent permitted by law, FlowPilot's total liability arising out of this engagement is limited to the fees paid by the client in the month in which the issue arose.

09 Communication

Primary communication takes place via email (markhere345@gmail.com) and scheduled calls (via Calendly). Response times are reasonable-effort and same-day in most cases, but are not a guaranteed service-level commitment unless separately agreed.

10 Changes to these terms

These terms may be updated from time to time to reflect how FlowPilot actually operates. Material changes will be communicated to active clients by email. Continued use of the service after such notice constitutes acceptance of the updated terms.
